The Global Affairs Vendor Management Operations (GA VMO) team provides strategic leadership and operational oversight for all vendor relationships within Global Affairs. Our mission is to ensure that Global Affair's engagements with its extended workforce are compliant, cost-effective, and aligned with Google's goals and policies. We manage key aspects of the vendor lifecycle, including strategy, onboarding, and performance, enabling Global Affairs teams to work efficiently and effectively with our vendor partners.
Role Overview:
This temporary L3 role is a key part of our operational core, responsible for executing the day-to-day “Run the Business” (RTB) activities that underpin our services. The ideal candidate will be a process-driven and detail-oriented individual who excels at managing a high volume of transactional work and ensures our stakeholders receive timely and accurate support for their vendor engagement needs.
Key Responsibilities
- Serve as the first point of contact for all inbound operational requests.
- Perform initial triage and monitoring of all support tickets to determine complexity, priority, and resolution path.
- Process system access and tooling approvals.
- Manage submission requests for policy exceptions and renewals.
- Manage the administrative lifecycle for vendor engagements, including completing contract templates.
- Conduct low-risk redline reviews and negotiations.
- Route contracts for review, manage signature gathering (gLAS submission), and upload final contracts to TeamConnect.
- Initiate and maintain legal matter requests (e.g., Flex Legal).
- Execute approved budget revisions and support EOY matter and invoice reconciliation.
- Perform routine administrative updates in the Vendor Management System (VMS) and act as a Designated Vendor Manager (DVM) for approvals.
- Conduct first-level troubleshooting for system issues and raise support tickets as needed.
- Run standard and ad-hoc reports to support team needs.
- Perform ongoing maintenance and updates for Standard Operating Procedures (SOPs), process maps, and the VMO site.
- Provide tactical support for ad-hoc projects led by L4 and L5 resources.
- Assist with project-related activities such as reporting, data analysis, organizing information, and other tasks as needed to drive progress and inform decision-making.
Minimum Qualifications
- 2+ years of relevant experience in operations, vendor management, or a similar field.
- Experience with contract administration and legal support processes.
- Bachelor's degree or equivalent practical experience.
- Experience with ticketing systems and legal matter management systems (e.g., TeamConnect) is a plus.
- Proficiency with spreadsheets (e.g., Google Sheets) and vendor management systems (e.g., Fieldglass, SAP).
- Exceptional attention to detail and strong organizational skills to manage high-volume, process-driven work.
- Clear and effective communication skills for interacting with internal stakeholders and vendors.
The hourly pay rate range for this position is 59.49 to $82.04/hr (dependent on factors including but not limited to client requirements, experience, statutory considerations, and location).
