TITLE: Executive Assistant

LOCATION: Cupertino, CA

ANTICIPATED DURATION: From 10/11/2025 to 10/11/2026

Responsibilities:

  • Support the Director and their teams with administrative tasks
  • Manage calendars and prioritize meetings across multiple senior leads and cross-functional partners
  • Adjust schedules due to last-minute changes
  • Coordinate scheduling of key leadership meetings with executive admins
  • Arrange domestic and international travel and process expense reports
  • Take notes in select meetings and help with post-action items
  • Coordinate and communicate team meetings and events, including room reservations, catering, and team-building activities
  • Assist with on-site meetings, events, and logistics as needed
  • Act as liaison with local site teams and corporate events teams
  • Answer correspondence and redirect as needed
  • Communicate team updates

Requirements:

  • 5+ years supporting Director-level or higher
  • Experience working with and understanding creative organizations' needs
  • Experience collaborating with distributed teams across multiple locations and time zones
  • Planning, coordinating, and communicating team meetings and events in person and virtually
  • Ability to work as part of a team of administrative assistants supporting one another
  • Strong attention to detail and accuracy
  • Superior organizational skills and adaptability
  • Ability to work independently and problem-solve effectively
  • Professional communication skills with cross-functional stakeholders and senior management
  • Willingness to be available after hours on occasion
  • Experience with Apple Mail, Calendar, and productivity apps (Keynote, Numbers, Pages)
  • Experience with virtual collaboration tools (Quip, Slack, Webex)
  • Education: Bachelor's degree or equivalent experience

 

The hourly pay rate range for this position is $40.00 to $48.51 (dependent on factors including but not limited to client requirements, experience, statutory considerations, and location). Benefits available to full-time employees: medical, dental, vision, disability, life insurance, 401k and commuter benefits.
