TITLE: Operations Business Coordinator

LOCATION: Remote (local to Culver City, CA)

ANTICIPATED DURATION: From 03/16/2026 to 06/19/2026 with quarterly extension

Responsibilities:

  • Collaborate with leads and stakeholders on production budgets, execution, and maintenance.
  • Maintain strong relationships with vendors, ensuring timely invoicing, payment processing, and resolution of issues.
  • Ingest estimates, invoices, and accruals. Check for accuracy and submit for approvals.
  • Develop, review, and approve purchase requisitions and invoices from vendors.
  • Address discrepancies related to payments, invoices, or purchase orders.
  • Work with various departments to manage accruals and contribute to financial performance measures.
  • Ensure that all financial data is accurate, up-to-date, and readily accessible for analysis and reporting.
  • Provide documentation and support to Operations Business Manager and senior stakeholders as needed.
  • Participate in the building and implementation of new systems and process improvements to deliver efficiency and standardization.
  • Work with cross functional teams to build and improve on the creation and review process for production budgets.

Requirements:

  • 5-7 years of experience in managing budgets and financial operations, preferably in creative organizations or financial operations roles.
  • BA/BS in Finance, Accounting, Business, or a related field.
  • Proficiency in financial software systems and advanced Excel skills, including pivot tables and complex formulas.
  • Experience in finance data tracking and analysis for marketing communication groups.
  • Strong stakeholder management skills, with experience working with senior leadership.
  • Excellent communication, teamwork, and problem-solving skills.
  • Ability to manage multiple projects simultaneously and work effectively in a fast-paced, highly matrixed environment.
  • Familiarity with Mac/Apple systems and tools; experience with Airtable or similar project management tools is a plus.
  • Knowledge of general accounting principles and systems.

Preferred Experience:

  • Experience in the media industry.
  • Ability to work independently and take initiative in solving complex problems.

The hourly pay rate range for this position is $40.00 to $53.71 (dependent on factors including but not limited to client requirements, experience, statutory considerations, and location).
