This pivotal role demands exceptional organizational prowess, proactive problem-solving, and the ability to seamlessly manage complex schedules and logistics across multiple time zones. What You’ll Do:

  • Manage intricate multi-calendar schedules using Calendar with agility and precision
  • Navigate conflicting priorities and escalate issues when necessary, ensuring leaders stay focused and aligned
  • Prepare and coordinate meeting materials, ensuring all leaders have what they need well in advance
  • Secure room bookings, shared resources, and oversee logistical arrangements for meetings, offsites, and events
  • Liaise effectively with peer administrative teams and cross-functional stakeholders
  • Organize domestic and international travel, expense reports, and security access arrangements
  • Support team events, offsites, and remote collaboration, adapting to diverse working styles and preferences
  • Identify workflow inefficiencies and implement improvements to optimize daily operations
  • Maintain discretion and handle confidential information with integrity and professionalism


Required Skills:

  • Over 5 years supporting senior or executive-level leaders, preferably in creative or innovative environments
  • Extensive experience managing multiple calendars and competing priorities
  • Proficiency in our productivity tools (Calendar, Mail, Numbers, Pages, Keynote), Slack, Webex, Airtable, and collaborative apps
  • Exceptional organizational skills with a flexible, adaptable approach
  • Strong communication skills tailored to individual preferences and work styles
  • Ability to work independently, anticipate needs, and problem-solve proactively
  • Experience coordinating virtual and in-person meetings, events, and travel logistics
  • Demonstrated track record of improving administrative efficiency
  • Discretion with sensitive information and ability to thrive in a distributed team setting


Nice to Have Skills:

  • Familiarity with creative or media organizations
  • Experience supporting teams across multiple geographic locations, including EMEA and APAC
  • Knowledge of facilities coordination and remote workspace setups


Preferred Education and Experience:

  • Bachelor’s degree or equivalent professional experience


Other Requirements:

  • Ability to work onsite Tuesday through Thursday in a hybrid environment
  • Flexibility to accommodate occasional after-hours work and travel for events or urgent needs

The hourly pay rate range for this position is $50.00 to $55.00 (dependent on factors including but not limited to client requirements, experience, statutory considerations, and location). Benefits available to full-time employees: medical, dental, vision, disability, life insurance, 401k and commuter benefits.
